Cancellation & Refund Policy
This Cancellation & Refund Policy applies to educational institutions participating in subject-specific higher education events organised by Zista EdVentures (“Zista”, “we”, “us” or “our”).
By registering for an event and making payment, the participating institution acknowledges and agrees to this Cancellation & Refund Policy and the Terms & Conditions applicable to the event.
Cancellation by the Institution
Once an institution has registered and paid for participation in an event, the participation fee is non-refundable if the institution subsequently cancels or withdraws its participation.
In the event of such cancellation, Zista EdVentures reserves the right to remove the institution’s logo, branding and other identifiers from event collateral, promotional material, digital platforms and other event-related communications.
The institution will remain liable for the full participation fee even where its representative(s) attend only part of the event, arrive late, leave early or otherwise do not participate for the full duration of the event.
Change of Participant
Where an institution wishes to change the representative(s) attending an event, Zista EdVentures must be notified in writing at least 14 days prior to the event.
A change of representative does not constitute a cancellation and does not entitle the institution to a refund.
Any additional participant or representative beyond the permitted number will be subject to the applicable additional participant fee.
Cancellation, Postponement or Change by Zista EdVentures
Zista EdVentures reserves the right to modify, postpone, relocate, suspend or cancel an event, in whole or in part, where it considers such action necessary or appropriate in the interests of participant safety, security or welfare, or where circumstances beyond Zista EdVentures’ reasonable control affect the safe or practical conduct of the event.
Such circumstances may include, without limitation, natural disasters, fire, epidemic or pandemic, public health emergencies, war, terrorism, civil unrest, riots, public demonstrations or protests, strikes or labour disputes, government action, government orders, restrictions or advisories, law-and-order or security concerns, restrictions on travel or movement, transportation disruption, venue closure or unavailability, infrastructure or utility failures, technical failures, or any other circumstance that materially affects Zista EdVentures’ ability to conduct the event safely or as originally planned.
Where such circumstances arise, Zista EdVentures may, at its discretion and having regard to the circumstances, modify, postpone, relocate, suspend or cancel the event.
Financial Arrangements Where Zista Changes or Cancels an Event
Where Zista EdVentures modifies, postpones, relocates, suspends or cancels an event under the circumstances described above, Zista EdVentures will determine the appropriate arrangement in relation to participation fees already paid, having regard to the circumstances and the nature of the event.
Depending on the circumstances, this may include transferring the participation to another Zista EdVentures event, applying the participation fee towards a future event, providing a credit, providing a refund in whole or in part, or making another appropriate arrangement.
The applicable arrangement will be communicated to participating institutions following the relevant decision by Zista EdVentures.
Unless otherwise expressly communicated by Zista EdVentures, the costs of travel, accommodation, visas, transportation, meals, local arrangements and any other expenses incurred by an institution or its representatives in connection with participation in an event are the sole responsibility of the institution and are not refundable by Zista EdVentures.
Circumstances Beyond Zista EdVentures’ Reasonable Control
Zista EdVentures shall not be responsible for any failure, delay, modification, postponement or cancellation of an event resulting from circumstances beyond its reasonable control.
Zista EdVentures will make reasonable efforts to monitor relevant circumstances and communicate material changes to participating institutions at the earliest practical opportunity.
However, where circumstances develop rapidly or immediate action is required in the interests of safety, security, compliance with government or venue requirements, or participant welfare, Zista EdVentures may take appropriate action without prior notice and will communicate with participating institutions as soon as reasonably practicable.
No Liability for Consequential Costs
Where an event is modified, postponed, relocated, suspended or cancelled due to circumstances beyond Zista EdVentures’ reasonable control, Zista EdVentures shall not be liable for any indirect, incidental or consequential loss or expense incurred by the institution or its representatives, including loss of business, loss of opportunity, travel costs, accommodation costs, visa costs, transportation costs or other associated expenses, except to the extent that such liability cannot lawfully be excluded.
Communication of Cancellation or Changes
Zista EdVentures will make reasonable efforts to notify registered institutions of any material cancellation, postponement, relocation or change to an event at the earliest practical opportunity using the contact details provided during registration.
It is the responsibility of the participating institution to ensure that its contact information remains accurate and that communications from Zista EdVentures can be received.
Policy Amendments
Zista EdVentures reserves the right to amend or update this Cancellation & Refund Policy from time to time. The version applicable to an institution shall be the version applicable to its registration, unless otherwise agreed in writing.
Acceptance
By registering for and/or making payment for participation in a Zista EdVentures event, the institution confirms that it has read, understood and agreed to this Cancellation & Refund Policy and the applicable Terms & Conditions.
