Terms and Conditions

These Terms & Conditions apply to educational institutions participating in subject-specific higher education events organised by Zista EdVentures (“Zista”, “we”, “us” or “our”). By registering for or participating in an event, the institution (“Institution”, “Institute”, “you” or “your”) acknowledges and agrees to these Terms & Conditions.

Registration and Participation

Registration for an event is subject to confirmation by Zista EdVentures. Participation is confirmed only upon receipt of the applicable participation fee and any other information requested by Zista.

Participation in an event is limited to up to two designated representatives per educational institution, unless otherwise agreed in writing with Zista. Additional representatives may be permitted subject to availability and payment of the applicable additional participant fee.

Only designated representatives of the participating educational institution are permitted to attend and represent the institution at the event. Education consultants, recruitment agents, third-party representatives or other intermediaries are not permitted to attend or represent an institution at the event under any circumstances, unless expressly approved by Zista in writing.

The representatives attending the event must have adequate knowledge of the institution’s admissions policies, programmes, eligibility requirements, application procedures and other relevant information necessary to engage appropriately with students and parents.

Participation Fees and Cancellation by the Institution

All participation fees must be paid in accordance with the payment terms communicated by Zista EdVentures.

Participation fees are non-refundable where an institution voluntarily cancels or withdraws its participation after registration or payment. In such cases, Zista reserves the right to remove the institution’s logo, branding and other identifiers from event collateral, digital platforms and promotional material, where applicable.

The institution remains liable for the full applicable event participation fee even where its representative(s) attend only part of the event, arrive late, leave early or otherwise do not participate for the full duration of the event.

Any additional participant fees, where applicable, must be paid in accordance with the rates communicated by Zista.

Change of Representatives

Where an institution wishes to change the representative(s) attending an event, Zista EdVentures must be notified in writing at least 14 days prior to the event.

Zista reserves the right to approve or decline a proposed replacement where necessary to maintain the quality, relevance, security or operational requirements of the event.

Event Changes

Zista EdVentures reserves the right to make changes to an event where, in its reasonable judgment, such changes are necessary or appropriate in the best interests of students, parents, participating institutions, speakers, staff or other stakeholders.

Such changes may include, without limitation, changes to the date, time, venue, location, programme, format, technology, platform, software, speakers, participating institutions or other event arrangements.

Zista will make reasonable efforts to communicate material changes to participating institutions at the earliest practical opportunity.

Event Cancellation, Postponement or Relocation

Zista EdVentures reserves the right to cancel, postpone, suspend, relocate or materially modify an event, in whole or in part, where it considers such action necessary or appropriate for reasons including participant safety, security, operational requirements, venue considerations or circumstances beyond its reasonable control.

Where an event is cancelled, postponed, relocated or materially modified, Zista will communicate the relevant arrangements to participating institutions at the earliest practical opportunity.

Zista will determine, having regard to the circumstances of the event and acting reasonably, the appropriate arrangements in relation to participation fees already paid. Such arrangements may include, where appropriate, transfer of participation to another Zista event, application of the fee towards a future event, issuance of a credit, or another arrangement determined by Zista.

Nothing in this clause shall require Zista to provide a refund where circumstances, applicable law or the nature of the event do not make a refund appropriate.

Force Majeure and Circumstances Beyond Zista’s Reasonable Control

Zista EdVentures shall not be responsible or liable for any failure, delay, cancellation, postponement, modification or inability to conduct an event, in whole or in part, where such circumstances arise from an event or circumstance beyond Zista’s reasonable control.

Such circumstances may include, without limitation, acts of God, natural disasters, fire, flood, earthquake, epidemic or pandemic, public health emergencies, war, terrorism, civil unrest, riots, public demonstrations or protests, strikes or labour disputes, government action, governmental orders, restrictions or advisories, law-and-order or security concerns, restrictions on travel or movement, transportation disruption, venue closure or unavailability, infrastructure or utility failures, technical failures, or any other circumstance that materially affects Zista’s ability to conduct the event safely or as originally planned.

Where immediate action is required due to safety, security, government direction, venue requirements or rapidly developing circumstances, Zista may take appropriate action without prior notice and will communicate with participating institutions as soon as reasonably practicable.

Safety and Security

Zista EdVentures places the safety and security of students, parents, participating institutions, representatives, speakers, staff and other event participants as a priority.

Zista reserves the right to refuse or restrict access to an event, require an individual to leave an event, or modify or terminate an event where it reasonably considers such action necessary for safety, security, legal, regulatory or operational reasons.

Participants are expected to comply with all reasonable instructions issued by Zista, the event venue, security personnel and relevant authorities.

Liability

The Institution acknowledges and agrees that Zista EdVentures shall not be liable for any loss, injury, delay, damage, expense, travel or accommodation cost, loss of business, loss of opportunity or other direct or indirect loss arising from circumstances beyond Zista’s reasonable control or from an institution’s participation in, inability to attend, or early departure from an event, except to the extent that such liability cannot lawfully be excluded.

Zista EdVentures shall not be responsible for any loss or damage to personal belongings, materials, equipment or other property belonging to participating institutions or their representatives.

Each participating institution is responsible for making its own arrangements for travel, accommodation, insurance and other expenses associated with participation in the event.

Event Content and Institutional Representation

Participating representatives are responsible for ensuring that all information they provide to students, parents and other participants is accurate, current and consistent with the policies and requirements of their institution.

Zista EdVentures does not assume responsibility for the accuracy, completeness or subsequent application of information provided by participating institutions.

Participation in a Zista event does not constitute an endorsement, accreditation, guarantee or recommendation by Zista of any participating institution, programme or qualification.

Branding and Event Collateral

By registering for an event, an institution authorises Zista EdVentures to use its name, logo and relevant institutional information for the purposes of event promotion, communication, event collateral and related marketing activities.

Zista reserves the right to remove or modify an institution’s branding, logo or other identifiers from event collateral where the institution cancels its participation, fails to meet participation requirements, or where Zista considers such action necessary for operational or other legitimate reasons.

Pricing and Exchange Rates

All prices quoted by Zista EdVentures are based on the prevailing pricing and, where applicable, exchange rates at the time of quotation or registration.

Prices are subject to change prior to confirmation of participation and may be revised where there are changes in applicable costs, taxes, exchange rates, venue charges or other relevant expenses.

Compliance with Event Requirements

Participating institutions and their representatives agree to comply with all applicable laws, regulations, venue rules, security requirements and reasonable instructions issued in connection with the event.

Zista reserves the right to restrict or terminate participation where an institution or its representative fails to comply with these requirements or engages in conduct that Zista reasonably considers inappropriate, disruptive, unsafe or detrimental to the event or its participants.

Amendments to These Terms

Zista EdVentures reserves the right to amend or update these Terms & Conditions from time to time. The version applicable to an institution shall be the version in effect at the time of its registration, unless otherwise communicated by Zista.

Acceptance

By registering for, paying for, or participating in a Zista EdVentures event, the institution confirms that it has read, understood and agreed to these Terms & Conditions.
